Outgrown Your SMTP Server -Warning Signs

It is at this point that you begin to experience some of the challenges of mass email out to the Internet, especially for large ISP’s email address such as Yahoo, Hotmail and AOL. You begin to realize that the infrastructure you have in place now may not be adequate to handle the level of the email you send. Your email is stuck in queues for hours, or a couple of stops emails get delivered at all to your Hotmail address. One of the main parts of an email marketing system is the SMTP server. Why the server is so important? The SMTP server or MTA (mail transfer agent) is the engine of your bulk email delivery system. These servers receive emails generated from your email marketing application, specify what email domain to send it to, and providing transportation and delivery of the message to various email domains on your list. 

Without the SMTP server, your email can not get out of your site. Imagine a pile of the un-delivered envelope just sitting at your table because there is no post office to sort and dispatch them to their destination. In the early days of email marketing when the volume is much lower, many people turn to both their internal e-mail server such as Exchange, or they use freely available SMTP servers such as Sendmail, Postfix, or Microsoft IIS SMTP server.

But as the use of email for marketing purposes rose and volume, two things start to happen. One is that it uses an email system in-house built for personal email communications began to break down because they were not built to handle large volumes of bulk emails. Second, is that the SMTP server is freely available can not adequately address the delivery challenges of sending bulk emails to large consumer ISP domain. These challenges include email bounce processing, email to a specific domain throttling and support for email authentication standards such as DomainKeys, DKIM, SenderID and SPF.

Here are some signs of trouble to look for:

Long Shipping Time

One of the main reasons you may experience longer delivery times even for several thousand e-mail messages is that your SMTP server can not compete with not only the burden of parsing your email messages but also to all DNS queries that need to take place during shipping. The second reason why you may experience a long delivery time is that your ISP gives your email message is put off. 

An email will be suspended for a few reasons: 1) the combination For You, From, and IP addresses are not familiar with the ISPs so that anti-spam techniques they will temporarily suspend receiving email from your IP address; and 2) the SMTP server sends mail at a rate that is outside the threshold ISP so that they can again temporarily defer emails coming from your IP address.

Mail to a Specific Domain Are Not Delivered

If the email to a specific domain such as Yahoo.com or Hotmail.com not delivered, it probably means that the ISPs have placed your IP address on a blacklist. This can happen for several reasons. One reason is that your mail is generating too many user complaints; appoint people to review your email as spam. Another reason could be that you continue to send emails at a rate above the threshold of the ISP. 

ISPs can choose to put your IP blacklists and junk mail from the IP if it detects that you may be a spammer based on the pattern of your shipment. A third reason could be that you send too many bad email addresses to ISPs. If your list contains an invalid email address, and you are constantly sending to a bad email address, the ISP can consider you a spammer and enter your IP address on a blacklist.

Email Responses stay flat or decline While Volume Up

The law of averages would assume that a certain percentage of the overall number of responses per message, the number of responses will increase at the same percentage of email volume increases. If you notice a drop or a flat percentage of your email volume increases, it may indicate the overall deliverability problems that exist in your email system. 

The decline in deliverability can be caused by some or all of the problems discussed above. Overall deliverability of emails you can depend on many factors including the use of e-mail authentication standard, DNS configuration, your delivery frequency, the quality of your list, and throttling of your mail from your ISP guidelines.

You will experience this problem once email you approach a few hundred thousand to several million a month.
